How robot Robin is at work 24/7 for Bergman Clinics

With every referral Bergman Clinics receives, three checks are performed in HiX. Every day there are about a thousand referrals, which causes very repetitive and repetitive work. That could be smarter, more fun and better, Bergman Clinics thought. That's why ilionx was brought in and DIZA, the digital healthcare assistant was put to work. In this way Bergman Clinics took the robot out of man.

Bergman Clinics is the largest network of focus clinics for planned medical care in the Netherlands. The network has been active in specialist medical care for 30 years and now consists of more than 60 focus clinics with branches in the Netherlands, Scandinavia and Germany.

Why do boring, repetitive and error-prone operations yourself?

Bergman Clinics works with HiX, the electronic patient file (EPD) from Chipsoft. For each referral that comes in, at the main office in Naarden, the BSN number, insurance, name and address details and the general practitioner are checked centrally for all clinics in HiX. If necessary, patient data are updated. The employees who did this got little satisfaction out of it. After all, it was boring work and by continuously checking and entering data there was less time for contact with clients. ilionx had been working with Bergman Clinics for a long time and together they saw this as a good reason to expand the services! "Because of the large amount of administration and repetitiveness in this, deploying DIZA was actually a no-brainer right away. After all, in healthcare, every minute we can spend better is worth gold," says Bas Berntsen, Manager Contact & Service Center at Bergman Clinics.

Robin learns to collaborate with HiX

Digital Care Assistant (DIZA) is a solution from ilionx built on UiPath's RPA Platform. In the UiPath tooling, actions are programmed through the front end of applications, limiting the impact on the IT landscape. However, integration with HiX proved to be no walk in the park. Due to pop-ups, bugs, updates and changes in HiX, the digital care assistants, who now collectively listen to the name Robin, regularly became confused. So Robin (this name is no coincidence, with Bas(sie) as manager of the department) had to be trained to recognize pop-ups, for example. The employees were also trained to work with Robin. Now they can, for example, make password changes themselves and turn Robin on and off during HiX maintenance. The ilionx support department is always ready to provide support.

94 percent of administrative work is taken out of your hands

The two robots automate repetitive tasks of healthcare workers 24/7. The employees at Bergman Clinics only have to take care of the exceptions that Robin passes on by sending an e-mail and a SQL report. Bas: "The biggest gain is the enormous increase in work satisfaction now that most of the relatively boring work is no longer being done. There is now more time for work that actually adds value." More referrals per day are also processed, so data is more up-to-date and both care staff and clients have faster access to patient records. This allows for more speed in appointment confirmations. When Robin finishes his standard duties, he updates overdue paperwork. Meanwhile, 94 percent of the administrative work is done by a robot. Of the thousand referrals per day, only 6 percent still require an employee because of exceptions. Bas: "The digital care assistants are so successful that we are already picking up new cases. We recently created a third robot that helped create new patients in HiX."
